Belline in Dubai

AI receptionist for event venues and function rooms in Dubai

A Dubai venue's enquiries cluster into the cooler months and arrive from planners who are not in this timezone. Belline answers the first call, takes the date, the headcount and the brief for your coordinator — and never says a date is free, prices one, or holds it.

  • Answers questions
  • Captures enquiries
  • Books appointments, or takes the request

Two calls a venue actually takes.

The first is the request taken for your team to confirm. The second is the call Belline refuses or hands over — which is the one you are really deciding about.

Ringing

Dubai, specifically

What a venue in Dubai is actually answering.

Dubai is a city where the working day and the trading day are different things.

The season decides the diary, and everybody wants the same dates

Dubai's outdoor season runs through the cooler months, and terraces, gardens and rooftops are effectively a winter product. That pushes weddings, gala dinners and corporate parties into a window everybody is competing for, and it means the enquiries for those dates start arriving long before them. Belline answers each of those calls, takes the date they are asking about with the rest of the brief, and leaves the one thing that matters — whether you can do it — to the person who keeps the diary.

The planner is rarely in the room and often not in the country

A conference organiser in Europe, a head office in Asia, a bride's family arranging a wedding from abroad: a good number of first enquiries for a Dubai venue come from outside the timezone and land outside your hours. They also arrive on WhatsApp as often as on the phone. Belline answers both, at any hour, from the same room specification and the same house rules, and writes the brief down so your coordinator can start the conversation rather than start again.

The city's own calendar fills the weeks around it

Dubai's exhibition and conference calendar — the large technology and travel trade weeks, the sporting fixtures, the shopping season — puts whole districts under pressure on the same nights, and the side events around them are precisely the bookings a function room wants. Those enquiries are urgent, specific and often last-minute, and they are the ones lost when a phone rings out during a function that is already running.

One venue, several kinds of occasion

A room in Business Bay might do a corporate awards dinner in March, a wedding with separate seating in April, a majlis for a family occasion and a product launch in the same month. Each of those comes with different questions about layout, access, catering, decor, music and timings. Belline reads back the specification you wrote for each — capacities, layouts, the AV, the separate entrance — and takes as a message anything you have not written down.

Languages on the line

English is the working language of most Dubai businesses, and Arabic is the official one. On a busy reception line you will also hear Hindi, Urdu, Malayalam and Tagalog, because that is who lives and works here. Belline answers in English.

In an emergency

Belline gives the instruction you set for the UAE: 998 for an ambulance, or the nearest emergency department. It takes no appointment request at that moment, because an appointment would be the wrong answer.

Your own number

Keep the Dubai number on your door and your listings. You forward the calls nobody answers; nothing about how customers reach you changes.

What comes down the line

Every call a venue gets, and what happens to it.

With your calendar connected, Belline checks it and books the time straight in, on the phone, in chat, on WhatsApp and on video. Without one, it takes the request and your team confirms it.

Date enquiries

The date or the window they have in mind, what the occasion is, roughly how many people and the timings they are thinking of. Belline writes all of it down for your coordinator. It never says a date is free, never says it is gone, and never puts a hold on one.

What the room actually is

Seated and standing capacities, the layouts you offer, whether there is a stage, a screen, a sound system, a separate entrance, a majlis setting, natural light, step-free access. Read back from the specification you wrote, and taken as a question for a person where you have not written it.

Site visits

The real next step for most enquiries. Belline takes who they are, when they could come, and what they will want to look at. With your calendar connected, Belline checks it and books the time straight in, on the phone, in chat, on WhatsApp and on video. Without one, it takes the request and your team confirms it.

Budget and price questions

Taken, not answered. A venue's number depends on the date, the season, the hours, the headcount and what the catering is, so Belline records what the caller is working to and hands it over. It does not quote, estimate or say what a night usually costs.

Catering, suppliers and house rules

Whether outside caterers are allowed, what you have written about decor, music, sound curfews, photography and access for a supplier's van. The written rule, read back as written — these are the questions that decide whether an enquiry is even worth a visit.

Callers about an event already in the diary

A client adding twenty guests, a supplier looking for the loading bay, a guest who thinks the wedding is at your address. Taken as a message for whoever is running that event, with everything the caller said and a number.

Where it stops

The most important thing it does is know what it must not answer.

Belline does not say a date is available, does not hold or pencil a date, and does not give a price, a per-head figure or an estimate for one. It has no view of your function diary and it does not guess at one. It reads back the specification and the house rules you wrote, takes the brief and the site-visit request, and your coordinator answers with a date and a number.

A hotel ballroom laid out for a conference: round tables, chandeliers, a screen at the far end, empty.

How it works

Set up from what you already have.

Most of the work is checking what Belline found. You decide when customers reach it.

  1. Give Belline what you already have

Your website, price list or brochure. It reads them and drafts your services, prices, hours and the questions a venue gets asked every day.

  2. Check what it found

Fix anything wrong, fill the gaps, and set the rules it must hold. Nothing goes live until you have read it.

  3. Switch it on

Ring it yourself first. Then forward your line and paste one line of HTML into your website. Customers only reach Belline once you do.

An answering service takes a message. Belline answers the question, takes the details and tells your team what to do next.

What counts as a minute

A minute is time Belline spends on a live call with your caller — on your phone line or through the voice button on your website — from the moment it answers to the moment the call ends, rounded up to the next whole minute. Calls you make from your own test console do not count, and neither do calls cut short by a fault on our side.

What counts as a conversation

A conversation is one customer's thread in your website chat or on WhatsApp in which Belline replies at least once. Everything that customer says in the 24 hours after Belline's first reply is the same conversation. Threads your team answers without Belline do not count.

When an allowance runs out

When an allowance runs out, you choose what happens: move up to the next plan, or stop at the allowance. We tell you at 70%, 90% and 100%. Nothing is ever added to your bill without you choosing it.

7 days free: 30 voice or 12 video minutes and 50 text conversations, with your website chat, the voice button on the same page, WhatsApp and your phone line all switched on. Customer stories

There is no testimonial here yet.

When a venue in Dubai agrees to be named, its story goes in this space: what it was losing, what it changed, and what its own team says about it. Until then this space stays empty on purpose. We are not going to write a quotation nobody said, or count customers we do not have.

Questions

What operators ask us.

Can it say whether a Saturday in February is free?

No. In Dubai that is the question every enquiry opens with and it is the one thing a page like this must not promise: the winter dates are the contested ones, and a wrong answer either gives away a date or turns away an event. Belline takes the date with the brief and your coordinator answers.

Somebody asks for a terrace date in July

It takes the enquiry and reads back what you have written about your outdoor space and when you use it. It does not tell a client an August garden dinner will be fine, and it does not talk them out of it either — that conversation belongs with your team.

Does it answer enquiries on WhatsApp?

Yes, on its own WhatsApp number, from the same room specification and house rules. A planner who sends a floor plan or a mood board gets it passed to your coordinator with their brief and their number; Belline does not comment on whether any of it can be done.

An enquiry comes in at two in the morning from another country

It is answered then, with the date, the occasion, the headcount, the timings and a number written down. For a venue whose planners work in other timezones, that is the difference between a proposal that starts tomorrow morning and a voicemail nobody returns until Sunday.

Can it tell a caller whether a date is free?

No. Your function diary is not something it can see, and a date given away by mistake or turned down by mistake are both expensive in a way a missed call is not. It takes the date they want along with the rest of the brief, and your coordinator comes back with the answer.

Somebody rings about a function that is on tonight

That goes straight to a person. Belline takes the name of the event, the caller's number and exactly what they said, marks it as being about an event in progress, and does not try to answer it.
