AI receptionist for real estate agencies
The enquiry goes to whoever picks up first.
A portal enquiry rings three agencies. Belline answers yours while your agents are driving or at a viewing, takes the enquiry against the listing it is about, and never negotiates a price.
Answers in English.
By city
Where we have written it up.
Each page is about an agency's phone in that city — the week it keeps, the languages on the line and the calls it loses.
Dubai
Since January 2022 the federal public sector has worked Monday to Friday, with the weekend on Saturday and Sunday and a shortened Friday, and most of Dubai's private sector followed it.
Abu Dhabi
Monday to Friday, weekend on Saturday and Sunday, with a short Friday across the public sector.
Sharjah
Sharjah is the outlier.
Why the calls go missing
Nobody is ignoring the phone.
Real estate agencies lose calls for reasons that have nothing to do with caring about them.
Your agents are, by definition, not at a desk
The job happens in a car, at a viewing, in a handover. The one time an agent cannot pick up is the time they are doing the work, and that is most of the day.
The enquiry belongs to whoever answers
A caller working down a portal's results does not leave a voicemail and wait. They ring the next listing. A missed call in this trade is not a delayed conversation, it is somebody else's client.
It is the same three questions about every listing
Is it still available, what is the asking price, is it furnished, what are the service charges, can I see it on Saturday. All of it is written on the listing, and all of it is still asked out loud.
Tenants and buyers share one line
The number on a listing is also the number a tenant with a leaking air-conditioner rings. Both are real calls, neither should wait for the other, and only one of them needs an agent.
Where it stops
Knowing what not to say is the hard part.
Belline will not negotiate a price, offer a discount, confirm a viewing time, advise on a mortgage, a visa, a transfer fee or an investment return, or take a deposit or cheque details over the phone. It reads back the listing you wrote, takes the enquiry, and a registered broker in your team does the rest.
How it works
Set up from what you already have.
Most of the work is checking what Belline found. You decide when customers reach it.
-
Give Belline what you already have
Your website, price list or brochure. It reads them and drafts your services, prices, hours and the questions an agency gets asked every day.
-
Check what it found
Fix anything wrong, fill the gaps, and set the rules it must hold. Nothing goes live until you have read it.
-
Switch it on
Ring it yourself first. Then forward your line and paste one line of HTML into your website. Customers only reach Belline once you do.
Questions
What operators ask us.
Will it know which properties are still available?
Only what you have told it. Belline reads the listings you give it and reads them back; it is not connected to your CRM or to a portal, so it does not know that something went under offer an hour ago. It takes the enquiry and your agent confirms — which is the same order of events as a portal lead today.
Can it book a viewing?
It takes the request. The property, when they could come, and whether they are buying or renting. Your agent confirms the time, because your agent is the person who knows where they will be at four on Saturday.
Will it negotiate on the asking price?
No, and that is deliberate. It states the price on the listing as you wrote it. A caller who wants to discuss the number is taken as a message for the agent, because a negotiation opened by a receptionist is a negotiation you did not choose to start.
What about mortgage, visa or investment questions?
It does not answer them. Those are advice, and advice comes from a licensed broker in your team. Belline takes the question in the caller's own words with their number and marks it for a person.
A tenant rings about a broken air-conditioner. What happens?
It is taken as a message for property management, with the unit, what has gone wrong and a number, rather than landing in a sales agent's voicemail. Your team sees it as its own item in the inbox.
Does it work with the number on our portal listings?
Yes, because it answers whatever number you forward to it. You keep the number that is published on Bayut, Property Finder, Dubizzle or your own site, and forward the calls nobody picks up.
Can it tell one of our agents from another?
It takes the name of the agent a caller asks for and puts it on the message. It does not transfer between agents' mobiles unless you have given it a number to put a call through to, and it never says an agent is available.
Will callers know it is not one of our agents?
If they ask, it says so. It does not present itself as a member of your team, and it does not use an agent's name as its own.
