AI receptionist for gyms, studios and personal trainers
The desk is empty because the class started.
A studio's phone rings hardest in the hour the floor is fullest. Belline takes trial, class and personal-training requests, reads back your timetable and prices, and hands every membership question to a person.
Answers in English.
By city
Where we have written it up.
Each page is about a gym's phone in that city — the week it keeps, the languages on the line and the calls it loses.
Dubai
Since January 2022 the federal public sector has worked Monday to Friday, with the weekend on Saturday and Sunday and a shortened Friday, and most of Dubai's private sector followed it.
Abu Dhabi
Monday to Friday, weekend on Saturday and Sunday, with a short Friday across the public sector.
Sharjah
Sharjah is the outlier.
Why the calls go missing
Nobody is ignoring the phone.
Gyms, studios and personal trainers lose calls for reasons that have nothing to do with caring about them.
The busiest hour is the hour nobody is at the desk
Before work and after it, the floor is full, a class is running and the one member of staff not coaching is signing somebody in. The calls asking about that same class arrive in exactly those hours.
A trainer on the floor is not a receptionist
Personal trainers are with clients for most of the day, and a session interrupted to answer an enquiry is a session the paying client did not get. The enquiry usually rings somebody else instead.
Membership questions are contracts, not conversations
Freezing, cancelling, transferring, a refund on a block of sessions. Every one of those is a commitment somebody at the business has to make, and a phone that answers them casually creates a dispute rather than settling one.
Some callers are asking a medical question
A knee, a back, a pregnancy, a heart condition. It sounds like a question about a class and it is not one, and the only safe answer comes from a coach who can see the person, or from their doctor.
Where it stops
Knowing what not to say is the hard part.
Belline will not cancel, freeze, transfer or refund a membership, waive a joining fee, say a class has a place left, or tell anybody whether exercise is safe for their back, their knee or their pregnancy. It reads back your timetable and your prices, takes the request, and your team does everything that changes an agreement.
How it works
Set up from what you already have.
Most of the work is checking what Belline found. You decide when customers reach it.
-
Give Belline what you already have
Your website, price list or brochure. It reads them and drafts your services, prices, hours and the questions a gym gets asked every day.
-
Check what it found
Fix anything wrong, fill the gaps, and set the rules it must hold. Nothing goes live until you have read it.
-
Switch it on
Ring it yourself first. Then forward your line and paste one line of HTML into your website. Customers only reach Belline once you do.
Questions
What operators ask us.
Can it cancel or freeze a membership?
No, and that is deliberate. Cancelling is a change to an agreement, so Belline states your notice period as you wrote it, takes the member's name, number and what they are asking for, and your team acts on it. Nobody's membership changes because of something a phone line said.
Will it tell a caller a class has space?
With your calendar connected, Belline checks it and books the time straight in, on the phone, in chat, on WhatsApp and on video. Without one, it takes the request and your team confirms it.
Somebody asks whether they can train with a bad back. What happens?
It says it is not able to advise, and it means it. It does not take the injury down: it suggests they talk it through with a coach when they come in, and if what they describe sounds like it needs attention now, Belline gives the emergency instruction you have set for your country instead.
Can it take a payment for a block of sessions?
No. Belline never takes card details or payments on a call. It reads back what a block costs from your price list and your team takes the payment the way you already take it.
Does it handle personal training enquiries differently?
It captures what the caller wants to work on in their own words along with the times they could train, and flags it for the trainers rather than the front desk. Matching a client to a trainer is a judgement, so a person makes it.
Can it say when our ladies-only hours are?
Yes, from what you have written down, exactly as you wrote it. What it will not do is decide who a session is for or make an exception to it — that is your team's call and anything unclear goes to them as a message.
Will it answer questions about a class it has not been told about?
No. It works from the timetable and descriptions you give it, so a class you have not written down is a message rather than an answer. Keeping the timetable current is the one thing worth doing on the day you change it.
Do members know it is not a person?
If they ask, it says so. It does not present itself as a coach or as a member of your desk team.
